In addition, it puts the decision to upgrade 100% on the customer as they aren't being "forced" into making an upgrade to get rid of technologically obsolete hardware. GEM I just didn't get why this passive/aggressiveness was necessary because it sounds like the customer is in a position of having to upgrade or kick rocks; as I imagine the likelihood of finding another service provider willing to put up with their set up is low.

Very low. The car wash point of sale industry is rather niche, and as a result, there aren't a lot of interface standards, so mixing and matching equipment providers is nigh impossible if you want an integrated system. Sure, you can have one manufacturer of teller in front of your automatic wash and use a completely different one for your self serves, but if you want to take credit card on them all, you're going to wind up having two separate controllers and very likely two separate credit card merchant services providers. So car washes tend to have all the same point of sale manufacturer across their entire site. If just one piece or part of the system needs to be replaced or upgraded, then they are generally locked into the same manufacturer, or faced with splitting their system. If they're using marketing features inherent to the system, they won't be able to share those features across manufacturers, which makes splitting the systems even less desirable. Where was I going with this? Oh yeah - anyway, being locked into a single manufacturer winds up making it a tricky balancing act for the manufacturers. Force too many upgrades/obsolescence on your customers, and your customers bad mouth and abandon you. I've seen two companies go out of business for this. In fact, one of the products I support is a replacement door for one of those company's obsolete product - it's still basically replacing the entire system, but just a tad cheaper because they don't have to buy & replace the cabinet sheet metal. The owner's willingness to support customers with older equipment for longer than most of our competitors is one reason the company is still around, and he's gotten a lot of customer loyalty because of it. However, sometimes he lets it go too far, such as this dial up situation.

Something like: “…remote support of your dial-up site is only possible for one site at a time. This is because there is only one surviving piece of hardware at our end which is capable of connecting. (Don’t mention it is a Windows XP laptop or whatever you said it was Win7? preserve the mystery) Sooner or later this item of hardware will cease functioning; when it dies, so will any capability to do remote support for your site. Please upgrade…”

I was already planning on sending another letter out in the next couple months, but I think I'll use your wording instead of mine.

The only change i would make is to replace "dies" with "ceases to function". GEM
